Job Title: Operations Administrator
Location: Ballymount, Dublin 12
Reporting To: Regional Operations Manager
The purpose of this role is to support the Regional Operations Manager and the wider team to ensure the smooth operation of the departments. This role requires a strong administrator with good organisational and time management skills to ensure that all administrative tasks and support for the team are delivered.
Key Responsibilities and Tasks
- Working with the operations management team to ensure effective administrative process are in place
- Ensure that all new starters and leavers are updated in all key operational systems each week
- Assist with the coordination and recording of annual licence and CPC checks and medical declarations
- Assist with the daily reconciliation and identification of defect cards
- Assisting in the organisation and distribution of annual driver bonuses
- Maintaining daily absence reports and updating systems/spreadsheets as required by the operations management team
- Managing and distributing uniforms
- Assist in the organisation of operational meetings
- Notetaking for meetings as required by Operations
- Assist in the organisation of operational engagement exercises and programmes
- Support with other administrative tasks, as required by the Regional Operations Manager
- Ensure that Health and Safety requirements are monitored and managed proactively
- Responsibility in managing, participating, and complying with the Integrated Management System (IMS)
Competencies, desirable traits or attributes:
- Experience of administration in a fast-paced environment
- Experience in working as a team and liaising with other departments
- To be comfortable with new technology and able to work quickly and accurately on computerised systems
- Excellent people skills and the ability to communicate clearly and precisely
- To be a good decision maker, confident and quick to learn.
- High level of confidentiality
Key Safety Responsibilities:
- To act in a manner as to ensure the health, safety, welfare, environment and fire safety of yourself and others in the organisation as well as any clients and visitors.
- Ensure that you and any guests to any company premises understand emergency and evacuation arrangements.
- Ensure your working environment is maintained in a safe and tidy condition. To act proactively in identifying and any unsafe practices or safety risks in the organisation and reporting these through the appropriate channels.
- Ensure adherence to all relevant company and Go-Ahead group company policies and procedures.
